We\u2019re always looking for useful ways to use artificial intelligence to save time, so when one of us spotted an <a href=\"https:\/\/wovenlegal.com\/tech-stack-optimization-for-legal-practices\" target=\"_blank\" rel=\"noreferrer noopener nofollow\">article from WovenLegal <\/a>on how to use ChatGPT to do an audit that would detect overlapping and extraneous services, we had to try it out.<\/p>\n<p>Here\u2019s how it worked. (Spoiler alert: This was not nearly as easy as the article suggests, but still a lot quicker than doing it manually.)<\/p>\n<h2 class=\"wp-block-heading\" id=\"h-1-create-your-tech-spreadsheet\">1. Create Your Tech Spreadsheet<\/h2>\n<p>I pulled all of our business support technologies into a single report listing each platform, with columns for monthly or annual cost, frequency of use, whether or not it provided a core business function, and the main thing we use it for. For example, the first few rows looked like this.\u00a0<\/p>\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/lh7-rt.googleusercontent.com\/docsz\/AD_4nXefSlPq4OFMY_RfW5i6xYQB9hJieG5CVE44SByTqGtbhtwt1J9tAgZy-FEe62Hn21vQuHyd5CpiFwAtwoL9ln2RkRhIyX4iAnM47k5N_QuUIJZz2Ioh21NitrE6Mu_n_3wMm01QEcEHGOHxfKnNrlU?key=NGF2QQtWlkM59yKDUGLzhApE\" alt=\"A screenshot of a computer&#010;AI-generated content may be incorrect.\" title=\"\"><\/figure>\n<h2 class=\"wp-block-heading\" id=\"h-2-load-the-spreadsheet-into-chatgpt\">2. Load the Spreadsheet Into ChatGPT<\/h2>\n<p>I uploaded the spreadsheet into ChatGPT and used the following initial prompt, which I borrowed directly from the article.\u00a0<\/p>\n<p class=\"has-background\"><strong><em>PROMPT 1: Please review the attached spreadsheet of technology spend for my firm. Highlight any overlapping services or redundant expenses where multiple tools serve the same function. My goal is to eliminate unnecessary spending and streamline our tech stack.<\/em><\/strong><\/p>\n<p>Unfortunately, ChatGPT got a little hung up on my \u201cMain Function\u201d column and produced a list of overlaps based on what we use it for rather than what the platforms can actually do. Not helpful.\u00a0<\/p>\n<p>I tweaked the prompt to get the AI to look at each platform\u2019s features and ignore the \u201cMain Function\u201d column.<\/p>\n<p class=\"has-background\"><strong><em>PROMPT 2: Many of the tools listed have multiple features. Disregarding the \u201cMain Function\u201d column and looking at the totality of features that each program offers (features are not listed on the spreadsheet \u2014 you will need to research them), tell me where there is overlap between the various platforms.<\/em><\/strong><\/p>\n<p>This produced better results. I got a list of each tool\u2019s core capabilities and functions and then a set of identified overlaps and recommendations. For example:\u00a0<\/p>\n<ul class=\"wp-block-list\">\n<li><strong>Note-Taking and Document Collaboration:<\/strong>\n<ul class=\"wp-block-list\">\n<li><mark>Overlap:<\/mark> Both Evernote and Google Workplace offer note-taking and document management features.\u200b<\/li>\n<li><mark>Recommendation:<\/mark> Evaluate which platform better suits your team\u2019s workflow. If deep integration with email and other productivity tools is essential, Google Workplace might suffice, allowing you to discontinue Evernote.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<ul class=\"wp-block-list\">\n<li>\u200b<strong>Project Management and Task Tracking:<\/strong>\n<ul class=\"wp-block-list\">\n<li><mark>Overlap:<\/mark> Trello provides project management capabilities, while Google Workplace can achieve similar outcomes using tools like Google Sheets or Google Keep.\u200b<\/li>\n<li><mark>Recommendation:<\/mark> If your team requires specialized project management features like Kanban boards, Trello is beneficial. However, if basic task tracking suffices, consolidating within Google Workplace could reduce costs.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<h2 class=\"wp-block-heading\" id=\"h-3-do-a-deeper-dive-into-the-systems-and-platforms-that-matter-most-to-you\">3. Do a Deeper Dive Into the Systems and Platforms That Matter Most to You<\/h2>\n<p>Workflows and task management are critical to our business. I was curious to see if we could consolidate our task management into a single tool. But ChatGPT only compared Trello with Google Suite. It\u2019s important to dig deeper with AI. I know that Evernote now offers some task management because one of our coaching clients uses it for his firm. ChatGPT didn\u2019t consider this, so I asked a more specific question.\u00a0<\/p>\n<p class=\"has-background\"><strong><em>PROMPT 3: How does Trello compare with the task management features now available in Evernote? In particular, consider the two in the context of a small team.<\/em><\/strong><\/p>\n<p>Now we were getting somewhere! <\/p>\n<p>ChatGPT produced side-by-side comparison tables for three categories: <\/p>\n<ul class=\"wp-block-list\">\n<li>Task creation and structure<\/li>\n<li>Collaboration and team visibility<\/li>\n<li>Automation and customization<\/li>\n<\/ul>\n<p>It then provided the below table of best-use cases for small teams, as well as final recommendations:<\/p>\n<figure class=\"wp-block-table\">\n<table class=\"has-fixed-layout\">\n<thead>\n<tr>\n<th><strong><em>Trello<\/em><\/strong><\/th>\n<th><strong><em>Evernote<\/em><\/strong><\/th>\n<\/tr>\n<\/thead>\n<tbody>\n<tr>\n<td><em>\u2013 Team project management<\/em><\/td>\n<td><em>\u2013 Personal or department-level task lists<\/em><\/td>\n<\/tr>\n<tr>\n<td><em>\u2013 Agile \/ Kanban workflows<\/em><\/td>\n<td><em>\u2013 Task lists linked to meeting notes or research<\/em><\/td>\n<\/tr>\n<tr>\n<td><em>\u2013 Client or matter-based project tracking<\/em><\/td>\n<td><em>\u2013 Small-scale project notes with embedded tasks<\/em><\/td>\n<\/tr>\n<tr>\n<td><em>\u2013 Multi-step, collaborative workflows<\/em><\/td>\n<td><em>\u2013 Storing procedures, then assigning related tasks<\/em><\/td>\n<\/tr>\n<\/tbody>\n<\/table>\n<\/figure>\n<h3 class=\"wp-block-heading\" id=\"h-final-recommendation-for-small-teams\">Final Recommendation for Small Teams<\/h3>\n<ul class=\"wp-block-list\">\n<li><em>If your small team needs a visual, collaborative system where everyone can clearly track project stages and individual responsibilities, Trello is the better choice.<\/em><\/li>\n<li><em>If your team primarily works from documents, meeting notes, and internal knowledge bases, and you just need lightweight task management embedded in documentation, Evernote could suffice.<\/em><\/li>\n<\/ul>\n<p>ChatGPT went further and provided the pros and cons of consolidating everything into Trello versus putting it all into Evernote, as well as a hybrid approach \u2014 using Evernote for knowledge management and Trello for workflows and task management. It gave a final recommendation.\u00a0<\/p>\n<h3 class=\"wp-block-heading\" id=\"h-my-recommendation-for-a-small-law-firm\">My Recommendation for a Small Law Firm<\/h3>\n<ul class=\"wp-block-list\">\n<li><strong><em>If you value simplicity and cost savings<\/em><\/strong><em> \u2192 Consolidate into <\/em><strong><em>Trello<\/em><\/strong><\/li>\n<li><strong><em>If internal documentation is mission-critical<\/em><\/strong><em> \u2192 Stick with the <\/em><strong><em>hybrid model<\/em><\/strong><em> (Evernote + Trello).<\/em><\/li>\n<li><strong><em>If you want a truly all-in-one replacement<\/em><\/strong><em> \u2192 Consider <\/em><strong><em>ClickUp<\/em><\/strong><em> or <\/em><strong><em>Notion<\/em><\/strong><em>, which cover tasks, projects, and docs.<\/em><\/li>\n<\/ul>\n<p>Because the point of this exercise was to determine the most cost-effective, consolidated tech stack, I decided to use ChatGPT to help me decide on a single tool that would accomplish what we needed. This is where things got even more interesting. It gave me the core functionality and pros and cons of a series of possible tools, including why a firm might consider one or the other and the types of firms each would be best for.<\/p>\n<h2 class=\"wp-block-heading\" id=\"h-final-recommendation-based-on-your-needs\">Final Recommendation Based on Your Needs<\/h2>\n<figure class=\"wp-block-table\">\n<table class=\"has-fixed-layout\">\n<thead>\n<tr>\n<th><em>Need<\/em><\/th>\n<th><em>Best Alternative<\/em><\/th>\n<\/tr>\n<\/thead>\n<tbody>\n<tr>\n<td><em>All-in-One Note + Task Management<\/em><\/td>\n<td><em><a href=\"https:\/\/www.notion.com\/product\" target=\"_blank\" rel=\"noreferrer noopener nofollow\">Notion<\/a><\/em><\/td>\n<\/tr>\n<tr>\n<td><em>Project Management with Built-in Docs<\/em><\/td>\n<td><em><a href=\"https:\/\/clickup.com\/\" target=\"_blank\" rel=\"noreferrer noopener nofollow\">ClickUp<\/a><\/em><\/td>\n<\/tr>\n<tr>\n<td><em>Microsoft-Centric Workflows<\/em><\/td>\n<td><em><a href=\"https:\/\/www.microsoft.com\/en-us\/microsoft-365\/onenote\/digital-note-taking-app\" rel=\"nofollow noopener\" target=\"_blank\">OneNote<\/a> + <a href=\"https:\/\/planner.cloud.microsoft\/\" target=\"_blank\" rel=\"noreferrer noopener nofollow\">Planner<\/a><\/em><\/td>\n<\/tr>\n<tr>\n<td><em>Customizable Workflows<\/em><\/td>\n<td><em><a href=\"https:\/\/coda.io\/welcome\" target=\"_blank\" rel=\"noreferrer noopener nofollow\">Coda<\/a><\/em><\/td>\n<\/tr>\n<tr>\n<td><em>Advanced Task and Team Management<\/em><\/td>\n<td><em><a href=\"https:\/\/asana.com\/\" target=\"_blank\" rel=\"noreferrer noopener nofollow\">Asana<\/a><\/em><\/td>\n<\/tr>\n<\/tbody>\n<\/table>\n<\/figure>\n<p>It then offered to help me plan the transition from our current hybrid Trello\/Evernote system to any one of the tools. I said, <strong><em>\u201cSure, give me a plan to transition from Trello and Evernote to ClickUp.\u201d<\/em><\/strong><\/p>\n<p>Chat GPT produced a phased migration plan, with tasks and milestones to be accomplished in each phase, instructions and anticipated timing. It also offered to create template workspaces I could set up in ClickUp with the appropriate folders, lists and custom views, along with a list of automations and integrations to streamline and automate workflows.\u00a0<\/p>\n<p>All of this took about five minutes from Prompt 1 to the generation of the ClickUp migration template.\u00a0<\/p>\n<h2 class=\"wp-block-heading\" id=\"h-so-can-you-use-chatgpt-to-audit-your-tech-stack-nbsp\">So, Can You Use ChatGPT to Audit Your Tech Stack?\u00a0<\/h2>\n<p><strong>Absolutely!\u00a0<\/strong><\/p>\n<p><strong>Is it perfect?\u00a0No.<\/strong><\/p>\n<p>Be prepared to tweak your prompts as you go along, and make sure you start with a clear picture of the problems you\u2019re trying to solve with technology. ChatGPT can quickly identify some key overlaps in your technology and provide alternatives for consolidating your tools, increasing your efficiency, and reducing your spending.
