You might get a list of matters from your practice management system, time entries from billing, document lists from a discovery platform, or contact information from a CRM. It\u2019s common for that data to arrive as a plain range of rows and columns, which works \u2014 but it leaves a lot of Excel\u2019s best features sitting on the bench.<\/p>\n<p class=\"wp-block-paragraph\">Click anywhere inside your data and press <strong>Ctrl+T<\/strong>. Excel will ask if your table has headers. If the first row contains labels like Client, Matter, Responsible Attorney, Date, Amount, or Status, make sure that option is checked and select <strong>OK<\/strong>.<\/p>\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"229\" height=\"152\" src=\"https:\/\/www.attorneyatwork.com\/wp-content\/uploads\/2026\/09\/image-1.png\" alt=\"\" class=\"wp-image-100070058\" title=\"\"><\/figure>\n<\/div>\n<p class=\"wp-block-paragraph\">Now your data is an actual Excel Table. That gives you filter buttons at the top of each column, cleaner formatting, easier sorting, and a data range that automatically expands when you add new rows or columns. If you\u2019re tracking open discovery requests, for example, you can quickly filter to show only items where the status is \u201cWaiting on client\u201d or sort by due date to see what\u2019s coming up next.<\/p>\n<p class=\"wp-block-paragraph\"><em>Important:<\/em> Before creating the table, make sure there are no completely blank rows or columns inside your data. Blank rows and columns can make Excel guess the wrong range, and you don\u2019t want Excel guessing badly.<\/p>\n<h2 id=\"h-tip-2-use-text-filters-to-find-the-needles-in-the-haystack\" class=\"wp-block-heading\">Tip 2: Use Text Filters to Find the Needles in the Haystack<\/h2>\n<p class=\"wp-block-paragraph\">Search is useful, but filtering is often better. The Find command will take you to one matching cell at a time. Filters let you temporarily hide everything that doesn\u2019t match, so you can focus on the relevant rows.<\/p>\n<p class=\"wp-block-paragraph\">Once your data is formatted as a table, click the dropdown arrow in any column header. For text columns, you\u2019ll see options like <strong>Contains<\/strong>, <strong>Does Not Contain<\/strong>, <strong>Begins With<\/strong>, and <strong>Equals<\/strong>. These are especially helpful when reviewing matter lists, check registers, client names, document descriptions, or time entry narratives.<\/p>\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"193\" height=\"255\" src=\"https:\/\/www.attorneyatwork.com\/wp-content\/uploads\/2026\/09\/image-3.png\" alt=\"Using text filters in Excel\" title=\"\"><br \/>\n<\/figure>\n<\/div>\n<p class=\"wp-block-paragraph\">For example, suppose you exported time entries and want to review anything that may need closer attention before billing goes out. Filter the narrative column to show entries that contain words like \u201cresearch,\u201d \u201cdraft,\u201d \u201creview,\u201d or \u201cconference.\u201d That doesn\u2019t replace professional judgment, of course, but it can make the review process faster and more focused.<\/p>\n<p class=\"wp-block-paragraph\">You can also use filters defensively. If you\u2019re reviewing a list of documents produced in discovery, filter the description column for terms that might indicate privileged material, such as \u201clegal,\u201d \u201cattorney,\u201d or \u201cadvice.\u201d You still need a proper review process, but filters can help you spot issues earlier.<\/p>\n<p class=\"wp-block-paragraph\"><em>Tip: When you\u2019re done filtering, look for the small filter icon in the column header. Retyping that information is slow, error-prone and unnecessary. Excel has a few tools that can help you separate the useful pieces.<\/p>\n<p class=\"wp-block-paragraph\">Start with <strong>Data &gt; Text to Columns<\/strong>. <\/p>\n<p class=\"wp-block-paragraph\">If the information is separated by a predictable character, such as a comma, dash, slash, or space, choose <strong>Delimited<\/strong> and tell Excel which separator to use. That can turn \u201cSmith, Jordan\u201d into separate last-name and first-name columns, or break \u201cSEA-2026-0142\u201d into office, year, and matter-number pieces.<\/p>\n<p class=\"wp-block-paragraph\">For patterns Excel can recognize, try <strong>Flash Fill<\/strong>. Type the result you want in the next column for one or two rows, then press <strong>CTRL+E<\/strong>, or find the Flash Fill button on the Data ribbon. If Excel sees the pattern, it fills the rest for you.
